How to Evaluate an IT Company in Houston: 10 Questions to Ask

There are dozens of MSPs and IT companies in Houston. They all have professional websites. They all claim to offer proactive, reliable, cutting-edge support. How do you tell who's actually good?
You ask the right questions. Here are the ten that separate the real providers from the polished sales pitches.
1. What Is Your Average Response Time — and How Do You Measure It?
Every IT company will tell you they respond quickly. Ask for the specific number. Then ask how they track it.
Good answer: "Our average response time for critical issues is 12 minutes, tracked in our ticketing system. Here's our SLA documentation."
Bad answer: "We're usually pretty fast. We pride ourselves on responsiveness."
Get the number in writing before you sign.
2. How Many Clients Do You Have Per Technician?
This matters more than total company size. A 50-person IT company with 500 clients might give you worse service than a 15-person firm with 80 clients. The ratio tells you whether they have capacity for you.
Good ratio: 50-75 users per dedicated technician.
Red flag: They can't or won't answer this question.
3. What Happens When Something Breaks at 2 AM?
Not "what does your website say" — what actually happens. Is there a 24/7 operations center? Is it a third-party answering service? Does the on-call tech actually know your systems, or are they reading notes?
Good answer: "We have 24/7 staffed monitoring. Critical alerts page our on-call engineer who has access to your environment documentation."
Bad answer: "You can leave a voicemail and we'll get back to you first thing in the morning."
4. Can I Speak With Three Clients Similar to My Business?
Size, industry, and complexity matter. Ask for references from businesses in your range — not their largest enterprise client. And actually call those references.
5. What's Your Employee Turnover Rate?
High turnover in an IT company means your account gets passed around. New technicians don't know your environment. Tribal knowledge disappears. Quality drops.
6. How Do You Handle Cybersecurity?
This should be a confident, detailed answer — not a handwave. Listen for specifics: What EDR platform do they use? How do they handle email security? Do they provide security awareness training?
Red flag: "We install antivirus and keep things patched." That was adequate in 2015. It's negligent in 2026.
7. What's NOT Included in Your Monthly Fee?
This is where the surprises hide. Ask specifically about project work, after-hours support, hardware procurement, on-site visits, emergency support, and new employee onboarding.
8. What Does Your Onboarding Process Look Like?
How a company handles onboarding tells you how organized they are. A good provider has a documented process: assessment, documentation, credential transfer, parallel monitoring, security review, help desk cutover.
9. Do You Provide Strategic Technology Guidance?
This distinguishes an IT vendor from an IT partner. Ask about quarterly business reviews, vCIO services, budget forecasting, and industry-specific guidance.
10. What's Your Contract Term and Exit Process?
Month-to-month contracts signal confidence. Multi-year contracts with heavy penalties signal fear of losing clients.
The Bonus Question
Ask this last: "What's the most common reason clients leave you?"
An honest provider will give you a real answer. An evasive one will dodge it. The willingness to be transparent about their weaknesses tells you more than anything else.
